Position description
Responsible to Manager, Student Administration
Role statement:
This position plays an important role in the Student Administration function through the coordination of HDR activities and assistance with coursework support. The HDR Coordinator provides high quality support to discipline groups and students within the ANU College of Medicine, Biology & Environment (CMBE) and ANU College of Physical & Mathematical Sciences (CPMS).

This position plays a leading role in research-related student administration in the discipline groups within CMBE/CPMS, assisting areas with all student-related activities and providing support for coursework. The HDR Student Administration Coordinator liaises closely with staff in local areas, College and Central Services and students on all student matters to ensure adherence by the local area to University policies, procedures and guidelines.
Role Statement:
The HDR Coordinator works under the broad direction of the Manager, Student Administration and the HDR Student Liaison Officer and is responsive on a daily basis to the Associate Dean, Associate Director (Education/HDR), Program Convener or Manager (Discipline Area Supervisor). The HDR Coordinator provides high quality student administration support to HDR students, and to coursework students on a needs basis. In general, the Coordinator will be based in one local area, but may be required to work in other areas of the Colleges to provide administration support as required. Responsibilities include:
1. Efficient administrative support on HDR matters including admission, enrolment, milestones, progress reporting, extension, examination, scholarships, funding issues and graduation for HDR students, including maintenance of relevant information in the University’s Student Administration System.
2. The preparation and presentation of reports from the Student Administration System, involving investigation and analysis of student enrolments and progression.
3. Advice to staff and students on the interpretation of University policies, rules and practices as appropriate and input in to the development of University policies, rules and practices in relation to student administration including coursework, as required.
4. Provide administrative support for coursework programs on a needs basis.
5. Supervision and support of student administration staff as required.
6. Assistance to the discipline group with the promotion, recruiting and pastoral care for HDR and coursework students.
7. Coordination of activities associated with prizes, awards and scholarships within the discipline group including administration of associated funds and coordination of activities associated with educational research projects including Summer Research Scholarships, Honours Programs and undergraduate research projects.
8. Creation and maintenance of web-based and print media relating to program and course information.
9. Work within relevant localised disciplinary areas to provide quality customer service to all staff and students.
10. Other duties as consistent with the classification of the position.
Selection criteria
1. Extensive relevant administrative experience, preferably in HDR administration either in a tertiary institution or comparable organisation. Relevant qualification will be highly regarded.
2. A strong commitment to high quality customer service, excellent organisational skills and the ability to interpret policy and procedures to provide advice.
3. Excellent oral and written communication skills and ability to relate to a wide range of people.
4. Accurate computing skills, with experience in the use of Word, Excel, the Web and information management systems.
5. Ability to work flexibly in a team environment, establish priorities, and independently meet deadlines.
6. A demonstrated knowledge and understanding of equal opportunity principles and policies and a commitment to their application in a university context.
